Terms and Conditions for Holiday Rental
of The Old Quarry

By making a booking with us, you will be accepting the terms and conditions detailed below and entering into a contract with us for your holiday, in which you promise to make payments and uphold your responsibilities as indicated below; whilst we promise to make The Old Quarry available for the period of your booking in a good state of order and cleanliness. Please read through and ensure you are in agreement with the following terms and conditions before proceeding to payment and confirmation of your booking.

1. Making A Booking

1.1 Please check your details on the invoice we sent you, including name, email address, phone numbers, the number of guests (maximum of 5 accommodated in 3 bedrooms – 1 double, 1 twin and 1 single) and the dates of your stay (from a minimum of 2 nights to a maximum of 28 nights) and inform us of any required changes.

1.2 By booking with us, you agree to make payment to us at the appropriate time according to the following schedule:

  • 25% (minimum £100) deposit at time of booking
  • Balance of payment no later than 6 weeks prior to the start of your stay, or payment in full at time of booking if booked within this 6 week period

1.3 If the balance of payment is not received by the due date, we reserve the right to cancel your booking and retain the deposit.

1.4 We shall provide booking confirmation and/or a receipt via e-mail following receipt of each payment.

2. Your Right To Modify Your Booking

2.1 We recognise that you may want to modify your booking. We do not charge an amendment fee, but must be notified of your wish to make changes to it as soon as possible.

2.2 We do not charge any more for extra guests, but please note that The Old Quarry provides accommodation for no more than 5 guests.

2.3 Any alterations to the dates or length of booking are subject to the availability and pricing of The Old Quarry at the time the request is made, bearing in mind that we apply a discount for whole weeks, when booked from Friday to Friday.

2.4 Any increase in price for the booking must be paid immediately to confirm the modifications.

2.5 Where the booking has been shortened or the choice of different dates means that the price has reduced, there will be:

  •   No refund if adjusted within 4 weeks of the start of your amended stay
  •   A 50% refund of the difference between the prices of the original booking and the amended booking if altered between 4 and 8 weeks of the start of your amended stay
  •   A 100% refund if modified over 8 weeks before the start of your amended stay

3. Your Right To Cancel Your Booking

3.1 We recognise that unforeseen circumstances may mean that you need to cancel your booking. We must be notified of your wish to cancel as soon as possible.

3.2 We cannot refund the 25% (minimum £100) deposit, but can refund a proportion of the remaining balance received depending on how close to the start of your stay you wish to cancel, according to the following schedule:

  • No refund if cancelled within 4 weeks of the start of your stay
  • 50% refund of balance payment if cancelled between 4 and 8 weeks of the start of your stay
  • 100% refund of balance payment if cancelled over 8 weeks before the start of your stay

3.3 Only in the event that you are able to provide evidence that national or local government public health measures mean you are not allowed to travel, would we waive our cancellation policy (section 3.2) and give you the choice of either a full refund or a chance to amend the dates of your stay. Any amendments would be in accordance with sections 2.1-4 and we would provide a full refund of any resultant over-payment if the new booking was at a reduced price.

4. Our Right To Cancel Your Booking

4.1 We may have to cancel your booking if we become aware of any health and safety concern or due to circumstances outside our reasonable control. If this occurs we will offer you the choice of either refunding all payments received (including the deposit) or of amending the dates of your stay (in accordance with sections 2.1-4 and would provide a full refund of any resultant over-payment if the new booking was at a reduced price). We will not be liable for any further costs you may incur associated with the cancellation.

5. Your Responsibilities

5.1 If any of your contact details change between making the booking and staying at The Old Quarry, then you must let us know as soon as possible.

5.2 During your stay, you promise that:

              5.2.1   The Old Quarry will only be used for the purpose of a holiday.

              5.2.2   Only yourself and the number of people specified on the invoice will stay at The Old Quarry. Please note that even if you are not staying yourself, by making the booking you are agreeing to be legally and financial responsible for the stay; for what the guests do and do not do.

              5.2.3   No pets are permitted at The Old Quarry.

              5.2.4   You will be considerate of neighbouring properties with regards to noise and behaviour.

              5.2.5   You will maintain all furniture, utensils, equipment, fixtures and fittings within The Old Quarry in the same condition and state of cleanliness as you find them at the start of your stay.

              5.2.6   You will report to us any breakages or damage caused by you or your guests during the period of your stay and will fully reimburse us for the cost of replacement or repair.

              5.2.7   Unless advised otherwise by us, you can arrive no earlier than 5pm on the starting day and must leave by 9:30am on the final day of your stay.

              5.2.8   Your guests are also aware of and abide with the responsibilities detailed above.

5.3 In failing to comply with your responsibilities set out in 5.2, you will have contravened our terms and conditions and we reserve the right to refuse you access to the property or to ask you to surrender the keys and leave The Old Quarry before the planned end of your stay. In such circumstances, we will be under no obligation to offer any refund.

6. Our Responsibilities

6.1 We will ensure that you have exclusive access to The Old Quarry during the full period of your stay and that you find it in a good state of repair and cleanliness.

6.2 We will ensure that The Old Quarry has working Smoke, Heat and Carbon Monoxide Alarms and that Gas Safety, Fire Prevention and Electrical Installation checks are up-to-date (copies available on request).

6.3 We will respond to queries, complaints and problems which may arise during your stay and make our best effort to resolve them in a timely manner.

7. Liability

7.1 You acknowledge that personal belongings and vehicles (together with their contents) belonging to you and your guests are left at The Old Quarry entirely at your and their own risk. We accept no liability for any loss, damage or injury to you or your guests, or to either your or their personal property during your stay, except to the extent such loss, damage or injury is caused by our negligence.

7.2 Please note that The Old Quarry is set within a natural and wild environment and, as such, due care and attention needs to be exercised when using the grounds, which you do entirely at your own risk. We accept no liability for your failure to do this and for any resultant injury, loss or damage.

8. Your Data

8.1 In making a booking, you consent for us to securely keep your contact details and to use them to communicate with you about your booking and, from time to time, to let you know of our pricing policy for the coming year and of any last minute deals to stay at The Old Quarry again.

8.2 We will not use your information for any other purpose than those stated above and we will never pass on or sell your data to any other business.

8.3 In providing it, you consent to allow us to use any feedback and comments for service improvement and marketing purposes, although we will never disclose any personal details that make you identifiable.

8.4 In line with Information Commissioner’s Office (ICO) guidelines, you have the right to opt out of any emails advertising prices and/or last minute deals and to have your data deleted if you so wish. Please let us know if you would like to do this. You may also request to see the data we hold about you, correct it and raise any concern you have about how we are using it.

9 Use Of Our Website

9.1 A ‘cookie’ is a type of data file that is stored on your device when you visit and/or perform actions while visiting a website, including theoldquarrysomerset.co.uk. A cookie file stores information relevant to our website in your device’s memory which is recalled when you revisit our website, or when you perform certain actions on your device. Due to the way cookies work, our website cannot access any information stored in cookies created by other websites, nor can other organisation access information in cookies related to our website on your device.

9.2 The following cookies are used on our website. All of them are considered ‘necessary’ for our website to function. We do not use any additional ‘optional’ cookies, whether marketing related or otherwise. Some of these cookies are ‘third-party’, meaning that they are placed on your device by another organisation who offer us a service. Cookies last for different amounts of time; some stay on your device and some end when you finish browsing our website. The duration of each is also listed below.

10 Insurance And Documentation

10.1 You are strongly advised to take out adequate travel insurance prior to the commencement of your holiday. It is your responsibility to check that your insurance cover is adequate.

10.2 If coming from another country, it is your responsibility to have the relevant travel and health documents and requirements needed for visiting the UK. These include any passport or other identification documents and visa requirements. We will not be liable for any expenses incurred resulting from your missing, incomplete or incorrect documentation or any non-compliance with such requirements.
